Import defects

In addition to creating defects from scratch, you can use the Defects tab to add or update many defects at once from a Microsoft Excel spreadsheet.

Excel import works only with qTest Manager's internal defect tracker. If this project uses Jira, Rally, or VersionOne to track defects, the Defects tab is hidden.

Before you start

You need the following user permissions:

  • Create Defects: Import new defects

  • Edit Defects: Update existing defects.

If your project uses defect workflow transition rules, imported status values must follow those rules.

Create an Excel spreadsheet to import defects

To create more than one defect at a time, start from the sample import template.

Download the sample import template

To download the sample import template, follow these steps:

  1. Go to the Defects tab.

  2. Select the Import Excel icon in the left panel.

  3. In the Import Defect Wizard, select the Sample Import Template link to download the sample file.

The sample spreadsheet shows the column names and the type of data to include. Use it as a guide when you build your own file.

Fill out the import template

In Microsoft Excel, enter values for each defect. Match the column names in the sample template. Optionally, you can add columns for any custom fields created in Field Settings.

Verify that every cell matches an available value in qTest Manager. For a combo box or checkbox field, enter multiple values in one cell, separated by commas with no spaces. For example, 1,2,3,4.

Only create and map the Defect ID column if you are updating an existing defect. To ensure the correct defect is updated, make sure you use the ID from the ID column on the Defects tab. For new defects, qTest generates a new value.

Import the Excel file

When your spreadsheet is ready, follow these steps:

  1. Select Import Excel in the left panel to open the Import Defect Wizard.

  2. To use the information from the first row during your mapping, select the Use imported files first row as header checkbox. Otherwise, qTest uses your column names during mapping.

  3. Upload the Excel file you want to use from your computer.

  4. Select Next. The column names from your spreadsheet appear in Available fields for mapping.

  5. Drag each column name to the matching row in Imported Spreadsheet's Columns, next to the qTest defect field.

    You must map every required qTest defect field, denoted by a red asterisk. To make a field optional, turn off Required for that field in Field Settings. If a mapped required field has no value, the defect won't import. If a mapped optional field has no value, qTest imports either a blank value, or the default value determined in Field Settings.

  6. Select Import. qTest creates or updates the defects, then lets you know how many defects were added.

  7. Select OK.
