Manage policy files
Vera supports the following actions to manage policy files:
Import default policy files
When you upgrade to Vera 2023.2 from a previous Vera version, default policies are created using the policy files in the Policies directory. Existing policies are marked as default policies.
Vera administrators can import default policy files through Policy Management page when they install a new Vera server. The first Approval Policy and Record Management Policy are recognized as default policies.
Note: The maximum upload size for policy files is 2 MB.
Download policy files
To download policy files, follow these steps:

Open the Policy Management page.

Find the row for the policy you wish to download:

Approval Policy

Records Management Policy

 - 
                                                    
Select the download icon in the Actions column for that row.
 
Update policy files
To update policy files, follow these steps:
- 
                                                    
Download the default policy file that you want to update.
 - 
                                                    
Open the policy file in your preferred text editor to make the appropriate changes and update the version number.
Keep in mind that the maximum upload size for policy files is 2 MB.
 - 
                                                    
Upload a new policy file version to the appropriate policy file row.
 
Upload a new policy file version
To upload a new policy file version, follow these steps:
- 
                                                    
Select the upload button in the Actions column for the policy you want to update.
 - 
                                                    
Select the Choose File button to navigate to the file to upload, add a comment (optional), and select Import.
A warning can appear in these scenarios:
- 
                                                            
You try to upload an unsupported file type. Please upload a JSON file.
 - 
                                                            
You accidentally upload a policy file to the wrong policy type i.e., you attempt to upload a synchronization policy to replace an approval policy.
 - 
                                                            
You try to upload a file that exceeds 2 MB. Please review the policy file to meet the size requirement.
 
 - 
                                                            
 
The policy file is now replaced with the new revision.
Add new policy files
Before you add a policy file, you need to add it to the database.
To add new policy files, follow these steps:
- 
                                                    
Open the Policy Management page.
 - 
                                                    
Select the Add Policy button.
 - 
                                                    
Choose the correct policy type:
- 
                                                            
Approval Policy
 - 
                                                            
Records Management Policy
 
If you attempt to upload an incompatible policy type to the one you selected, you will receive an error.
 - 
                                                            
 - 
                                                    
Enter a name for the policy file.
Policy file names must be unique. An error is displayed if you enter a duplicate name.
 - 
                                                    
Select a Policy Owner (optional).
 - 
                                                    
Enter a Description (optional).
 - 
                                                    
Upload the policy file.
 
Set a policy file as default
After the initial policy files are imported and set to default, they do not have to remain the default. The default policy file can be set to any policy.
To set a policy as default, follow these steps:
- 
                                                    
Open the Policy Management page.
 - 
                                                    
Navigate to the policy that you want as the new default and select Set as Default Policy.
A modal pops up to confirm your action.
 
Note: There can only be one default policy per type at a time. Doing this will make the current default policy a non-default file.
Delete policy files
A system administrator can delete any unused policy files. Policy files associated with policy sets or marked as default cannot be deleted.
To delete policy files, follow these steps:

Click the delete icon on the same row as the policy.

On the delete policy modal, select Delete.
