Manage users

Tosca Cloud uses Okta for identity management and authentication, but don't worry. You don't need to know Okta. As an administrator, you can perform all user management tasks directly in Tosca Cloud.

Before you start

Tosca Cloud sends email notifications from @okta.com or @tricentis.com. Make sure that your organization allows emails from these domains and doesn't classify them as spam.

Get your team into Tosca Cloud

This is the only task in this topic that's also available to contributors.

To invite people to Tosca Cloud, go to User menu and select Invite teammate.

Keep these things in mind:

  • You can enter individual email addresses or a comma-separated list of email addresses.

  • You can only choose one user role for a group of invitees. If you're an administrator, you can change individual roles later. If you're a contributor or viewer, you can't choose any roles—all invitees receive a viewer role by default.

If your invitee doesn't get their invitation, have them check their spam folder. As an admin, you can also resend the email by deleting the user and inviting them again.

Change user roles

You can change user roles in Tosca Cloud at any time. For example, to assign administrator rights to other users if you want to distribute the administrator workload.

To do so, go to  User menu > Settings > Users. Here, you can either select a single user and change their role using the Role dropdown, or you can select multiple users and assign them the same role at once using Edit role.

Trigger a password reset for another user

If one of your users has issues with their password, you can trigger a password reset for them.

To do so, go to  User menu > Settings > Users, select the icon, and then select Reset password.

Suspend or delete users

When it comes to removing users, you have the following options:

  • Suspend them, which removes their access temporarily. For example, if you have a contractor whose contract has run out but who may return. You can reactivate suspended users at any time.

  • Delete them, which deletes the user's record entirely. For example, if the user has left your company. You can't undo deletions. To get deleted users back, you need to invite them again.

To delete, suspend, or reactivate suspended users, go to  User menu > Settings > Users. Select the icon, and then select the respective option from the menu.

Unlock users

If users have exceeded their limit for unsuccessful sign-in attempts, Tosca Cloud locks their account.

To unlock it, go to  User menu > Settings > Users, select the icon, and then select Unlock user.
