Manage users

Tosca Cloud uses Okta for identity management and authentication. You don't need to interact with Okta directly. As an administrator, you can manage all user tasks in Tosca Cloud.

Before you start

Tosca Cloud sends email notifications from @okta.com or @tricentis.com. Make sure that your organization allows emails from these domains and doesn't classify them as spam.

Invite users

This is the only task in this topic that's also available to contributors.

If your organization uses Single Sign-On (SSO), users can sign in directly without an invitation. You can still invite users if needed.

To invite people to Tosca Cloud, go to User menu and select Invite teammate.

  • You can enter individual email addresses or a comma-separated list of email addresses.

  • You can only choose one user role for a group of invitees. If you're an administrator, you can change individual roles later. If you're a contributor or viewer, you can't choose any roles. All invitees receive the viewer role by default.

If a user doesn't receive the invitation, ask them to check their spam folder. To resend the invite, delete the user and invite them again.

Change user roles

You can change user roles in Tosca Cloud at any time.

To do so, go to  User menu > Settings > Users and groups. Select one or more users, then select Edit role to assign a new role.

Work with user groups

If your organization uses Single Sign-On (SSO) with an external identity provider (IdP), you can assign roles in Tosca Cloud by user group. The user groups come from your IdP. You don't create or edit them in Tosca Cloud. They appear here when your SSO setup sends them, so role assignments stay in sync with your IdP. A group shows up in Tosca Cloud after at least one of its members has signed in for the first time. With each further sign-in, Tosca Cloud updates the user's group memberships and group assignments based on the latest data from your IdP.

User group sync is only available for SSO setups that use the SAML protocol.

In Tosca Cloud, go to User menu > Settings > Users and groups and switch to the Groups tab. Assign roles to groups the same way you do for users. On the Workspaces page, assign a group to a workspace to give every member access.

Reset a user's password

If your organization uses Single Sign-On (SSO), you can reset the password for any user on your tenant.

To do so, go to  User menu > Settings > Users and groups, select the icon, and then select Reset password.

Suspend or delete users

You can remove users in two ways:

  • Suspend them to remove access temporarily. For example, for contractors who may return later. You can reactivate suspended users at any time.

  • Delete them to remove the user's record permanently. For example, if the user has left your company. You can't undo deletions. To bring them back, invite them again.

To delete, suspend, or reactivate suspended users, go to  User menu > Settings > Users and groups. Select the icon, and then select the respective option from the menu.

Unlock users

If a user fails to sign in too many times, Tosca Cloud locks their account.

To unlock it, go to  User menu > Settings > Users and groups, select the icon, and then select Unlock user.
