Import or export test cases

We know that your testing process often includes multiple kinds of software. To make this easier for you, Tricentis Test Management for Jira lets you manage and move test cases in bulk, whether it's to or from Tricentis Test Management for Jira.

Did you know? You can also migrate select test cases and test data from other providers, such as Zephyr. Ask your administrator to set up the migration in Tricentis Test Management for Jira settings.

Import test cases

You can easily import test cases into Tricentis Test Management for Jira from a Microsoft Excel file. This is useful if you want to create test cases in batches, or if you need to import test cases from another source.

If you want to use the import process to update existing test cases, follow the instructions in the Update existing test cases via import section below.

When it comes to importing test cases, keep these things in mind:

  • Limitations: you can import a maximum of 200 test cases at a time.

  • Jira fields: each test case must have the Priority field in Jira, or the import won't work. Make sure that either the Description fields or Context fields sections in Jira have the Priority element before you start the import process.

  • Structures: during the import process, you'll download a template file. Don't add columns to the file or rename table headers.

To import test cases from Excel, follow these steps:

  1. In the Apps section of your Jira project, select Test Management to open Tricentis Test Management for Jira.

  2. Go to the Test Design tab.

  3. On the left panel, select the default folder where you want to save your imported test cases.

  4. Select Import test cases from Excel file.

  5. Follow the instructions to download the template file. Then, fill out the fields in the template file.

    If you have multiple entries for a field, for instance in Requirements or Labels, use a comma to separate your entries.

Description

Key Add the Test Case ID if you want to update an existing test case. For more information, check how to Update existing test cases via import.
Summary Jira issue key for the test case.
Description Description of your test case.
Reporter Username or email of the person who reported the test case. The username should be the first and last name of the reporter as it's recorded in Jira.
Assignee Username or email of the person assigned the test case. The username should be the first and last name of the assignee as it's recorded in Jira.
Epic Jira issue key for the Epic your test case is attached to.
Fix Versions Version number that the test case covers.
Requirements Jira issue key for any requirement you have attached to the test case.
Priority Priority of the test case, such as High, Medium, or Low.
Labels Jira label that organizes your Jira issues by function. This can be any identifier you've defined as a label, such as team or task type.
Component The name of any components the issue covers. This can be any identifier you've defined as a component, such as the service, plug-in, or API you're working on.
Test Category Category that defines whether your test is Functional or Non-Functional.
Precondition Description of the precondition for the test case.
Folder Destination folder in Tricentis Test Management for Jira.
  • To import the test case into the default folder, leave the column blank.

  • To import the test case into a child folder within the default folder, enter the folder name. If this folder doesn't exist yet, Tricentis Test Management for Jira creates it during the import.

  • To import the test case into a sub-folder of a child folder, enter <name of the child folder/name of the sub-folder>. If one or more folders don't exist yet, Tricentis Test Management for Jira creates them during the import. You can have as many sub-folders and levels of sub-folders as you need.

Step Description Description for your test step. You can include as many test steps as you need.
Step Data Any step data included with the test step. You may optionally include step data with each test step.
Expected Result Expected result of the associated test step. If you have multiple test steps, enter one Step Description and one Expected Result per row. Then, merge the respective Summary cells in the first column.
*Custom field name If you have custom fields, you can import information into them using the Excel import document. To add a custom field, enter its name in the columns at the end of the document. The name should be prefixed with an asterisk (*).
  1. Upload the populated template file as instructed. If one or more entries are invalid, you need to correct them before retrying. The import only goes through if all entries are valid.

    Test cases are imported in the same order you enter them in the Excel file.

Update existing test cases via import

You can also use the import feature to update existing test cases, by including these test cases as additional rows in the Excel file. To update existing test cases, you will need to add them to the list in the Microsoft Excel file (including all their data), edit the parts that you want to update, and add their Test Case ID value to the Key column. To retrieve the existing test case data, it is recommended to Export test cases, copy the row(s) and then add the row(s) to the Microsoft Excel file.

If you leave a field in the Excel file blank, it will delete the existing value in the field.

To update existing test cases via import, follow these steps:

  1. In the Excel file, make sure that the rows of the existing test cases include the following:

    • All the original data of the test case.

    • The Test Case ID in the Key field. The Key field should remain empty for new test cases.

    • The updates to the desired fields.

  2. Upload the Excel file, by following steps 1-5 in the Import test cases section above.

  3. In the Import your test cases dialog after uploading the populated template file, select the Update existing test cases by matching to the values in the Key column option.

  4. Click Import.

Export test cases

If you thought it was easy to import test cases from Excel, it's even easier to export cases to an Excel file. This is useful if you need to export test cases to other software systems in batches. For example, you can export your test cases to an external automation system.

To export test cases to an Excel file, follow these steps:

  1. In the Apps section of your Jira project, select Test Management to open Tricentis Test Management for Jira.

  2. Go to the Test Design tab.

  3. Select the checkboxes next to the test cases that you want to export.

  4. Select on the floating actions bar, and then select Export to Excel.
